1.3 Sensitive Documents

As part of our real estate services, we may collect and process sensitive documents, including but not limited to:

• Preapproval documents
• Proof of funds
• Government-issued identification (e.g., driver's license, passport)
• Financial statements
• Employment verification documents

These documents are collected to verify your identity, assess your financial capability, and facilitate real estate transactions.

1.4 Digital Signatures

We use digital signature technology (powered by SignWell) to allow you to sign documents electronically. When you use our digital signature feature, we collect:

• Your electronic signature
• Metadata associated with the signing process (e.g., IP address, timestamp)

1.5 Voice and Audio Data

When you use the voice conversation feature in our App, we collect:

• Audio recordings of your voice during AI voice chat sessions
• Transcriptions and AI responses generated from your voice input
• Your selected AI voice preference

Voice data is transmitted in real time to our AI service provider (OpenAI) via a secure WebRTC connection for processing and is not stored permanently by Ohvii after the session ends.

1.6 Photos and Camera Data

When you use property walkthrough or attachment features, we may collect:

• Photos taken with your device camera during property walkthroughs
• Images selected from your device's photo library
• Metadata associated with photos (e.g., timestamps)

Camera and photo library access requires your explicit permission, which you can revoke at any time through your device settings.

1.7 AI Conversation and Memory Data

Our App includes an AI assistant that learns from your interactions. We collect:

• Text-based chat messages and conversation history with the AI assistant
• AI-generated memories and preference data derived from your conversations (when the memory feature is enabled)
• Property search preferences and behavioral patterns inferred by the AI

You can disable the AI memory feature at any time through the App's settings. When disabled, the AI will not retain new information from your conversations.

1.8 Co-Buyer Information

If you use our co-buyer collaboration feature, we collect:

• Co-buyer name, email address, and phone number
• Relationship metadata (e.g., date added, invitation status)
• Invitation tokens and linking codes

When a co-buyer is linked to your account, certain property data, conversation history, and notes may be shared between linked accounts.

1.9 Device and Technical Information

We automatically collect certain technical information when you use our App, including:

• Push notification tokens (for delivering notifications to your device)
• Device model, operating system version, and app version
• Crash reports and performance data (with personally identifiable information removed)
• Timezone and notification preference settings

1.10 Property and Search Data

We collect data related to your property search activity, including:

• Saved property listings and search criteria
• Property inspection notes and walkthrough data
• Comparable property analysis data
• Offers created, counter-offers, and negotiation history

We use sensitive personal information only for purposes that are necessary and proportionate to provide our services. This includes:

• Using financial information to process transactions and verify financial capability
• Using government-issued IDs to verify identity and comply with legal requirements
• Using precise geolocation (with your consent) to provide location-based services

2.2 Use of Sensitive Documents

Preapproval documents, proof of funds, and other financial documents are used to:

• Verify your financial capability to make offers on properties
• Provide this information to sellers or their agents as part of the offer process (with your consent)
• Comply with legal and regulatory requirements in the real estate industry

2.3 Use of Digital Signatures

We use digital signatures to:

• Create legally binding documents and contracts
• Streamline the document signing process
• Maintain a secure and auditable record of agreements

2.4 Use of Voice and Audio Data

Voice data collected through our AI voice chat feature is used to:

• Enable real-time voice conversations with the AI assistant
• Generate AI responses and property insights based on your spoken queries
• Improve the accuracy and quality of voice interaction features

2.5 Use of AI Memory and Conversation Data

When the AI memory feature is enabled, we use conversation data to:

• Remember your preferences, priorities, and property criteria across sessions
• Provide personalized property recommendations and daily digest notifications
• Improve the relevance of AI responses over time

2.6 Use of Co-Buyer Data

When you invite a co-buyer, their information is used to:

• Link co-buyer accounts for collaborative property search and offer creation
• Share relevant property data, notes, and conversation history between linked accounts
• Send notifications and updates to both parties regarding shared properties and offers

2.7 Data Processing for Specific Purposes

• Targeted Advertising: We may use your personal information to deliver customized advertisements to you across different platforms. This involves analyzing your preferences and behaviors to show you ads that are more relevant to your interests.
• Market Analysis: We may use aggregated and anonymized data to conduct market research and analysis to improve our services and understand real estate trends.

3. Sharing of Information

We may share your information with:

• Service providers who perform services on our behalf, including AI service providers, digital signature providers, cloud infrastructure providers, and secure document storage services
• AI service providers (such as OpenAI) for processing voice conversations and generating AI-powered insights
• Your linked co-buyer, who will have access to shared property data, notes, and relevant conversation history
• Professional advisors, such as lawyers, bankers, auditors, and insurers
• Government bodies, regulators, law enforcement, and others as required by law or to protect our rights
• Other users of the platform, such as sellers or their agents, when you make an offer on a property (limited to information necessary for the transaction, which may include preapproval or proof of funds documentation with your consent)
• In connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business by another company

3.1 Sale of Personal Information

Ohvii does not sell your personal information for monetary consideration. However, under the CCPA's broad definition of "sale," some of our data-sharing practices for advertising and analytics purposes may be considered a "sale." You have the right to opt out of this type of data sharing.

4. Third-Party Services and Data Processors

We use the following third-party services to operate and improve our platform. Each service may receive certain categories of your data as described below:

4.1 OpenAI

We use OpenAI to power our AI assistant, including text-based chat and real-time voice conversations. Voice audio data is transmitted via secure WebRTC connections. OpenAI processes this data to generate AI responses and does not use your data to train its models. For more information, see OpenAI's Privacy Policy.

4.2 Firebase (Google)

We use Google Firebase for user authentication, cloud database storage (Firestore), file storage (Firebase Storage), and serverless backend functions (Cloud Functions). Your account data, property data, conversations, and uploaded documents are stored in Firebase infrastructure. See Firebase Privacy and Security.

4.3 SignWell

We use SignWell to facilitate electronic document signing for real estate offers and contracts. When you sign a document, your signature, name, email, and signing metadata are processed by SignWell.

4.4 Sentry

We use Sentry for error tracking and crash reporting to maintain app stability. Before sending error reports to Sentry, we automatically scrub personally identifiable information including email addresses, phone numbers, ZIP codes, IP addresses, and usernames.

4.5 Google Places API

We use Google Places API to provide location search and property address autocomplete functionality. Search queries you enter may be sent to Google for processing.

5. Your Rights and Choices

Under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), California residents have specific rights regarding their personal information:

• Right to know what personal information is collected, used, shared, or sold
• Right to delete personal information held by businesses
• Right to correct inaccurate personal information
• Right to opt out of the sale of personal information
• Right to limit use and disclosure of sensitive personal information
• Right to non-discrimination when exercising CCPA rights

If you use an authorized agent, we may require proof of the agent's authorization and may also require you to verify your identity directly with us.

6. Account Deletion

You may delete your account at any time through the Settings screen in the Ohvii App. When you delete your account, the following data is permanently and irreversibly removed:

• Your user profile and account information
• All saved properties and saved listings
• All conversation history with the AI assistant
• All AI-generated memories and learning data
• All offers, counter-offers, and negotiation records
• All co-buyer invitations you have sent
• Comparable property analysis data
• Your Firebase Authentication account

If you have a linked co-buyer, your data will be removed from shared conversations and properties. Account deletion is final and cannot be undone.

7. Data Retention

We will retain your personal information, including sensitive documents and digital signatures, for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law. For certain documents related to real estate transactions, we may be required to retain information for extended periods to comply with legal and regulatory requirements.

8. Security

We take reasonable measures to help protect your personal information from loss, theft, misuse, unauthorized access, disclosure, alteration, and destruction. This includes:

• Encrypting sensitive documents and digital signatures both in transit and at rest
• Implementing access controls to limit employee access to sensitive information
• Regular security assessments and updates to maintain data protection
• Secure data storage using industry-standard encryption protocols
• On-device encryption of locally cached data using AES-256 encryption with keys stored in your device's secure enclave
• Automatic scrubbing of personally identifiable information from error and crash reports before transmission to monitoring services
• Secure WebRTC connections for real-time voice data transmission

8.1 App Tracking Transparency

When using our iOS app, you will be prompted to allow or deny tracking across apps and websites owned by other companies. This tracking helps us:

• Provide personalized features and content
• Measure advertising effectiveness
• Enable certain app functionality

You can change your tracking preferences at any time through your iOS device settings. Declining tracking will not affect your ability to use essential features of the app.

8.2 Third-Party Analytics and Services

Our app uses third-party analytics tools and services to help us understand app usage and improve our services. These services may collect:

• Device information (model, OS version)
• App usage statistics
• Crash reports
• Performance data

Your information may be transferred to and maintained on computers located outside of your state, province, country, or other governmental jurisdiction where the data protection laws may differ from those in your jurisdiction. If you are located outside the United States and choose to provide information to us, please note that we transfer the data to the United States and process it there.
